WhatsApp Business app or the API? What actually changes for a company

The app is free and serves one person. The API puts a whole team on one number, and carries fees and rules.

If one person answers WhatsApp from one phone, the free WhatsApp Business app is enough. If more than one person must answer on the same number at once, or WhatsApp must join your systems, or you want campaigns, you need the official API — which carries Meta's fees and rules about what you may send and when.

The differences that decide it

Who answers
The app: one person on one phone. If somebody else has to answer, they need the phone. The API: the whole team on the same number at once, with each conversation assigned to somebody.
When somebody leaves
The app: the conversations are on their phone. The API: the conversations are in the platform, and the record stays.
Joining it to systems
The app: none. The API: a REST API and webhooks — an order from your store sends a message by itself.
What it costs
The app: free. The API: Meta's per-message fees by category, plus the subscription for the platform you run it on.
The number
One number cannot be on both. Migrating a number from the app to the API closes the app on that number.

When the app is enough

  • One person answering, and not many messages.
  • No need to join WhatsApp to a system.
  • Not sending campaigns to large lists.

If that describes you, we would not advise paying for the API. It is written here because it is often sold to companies that do not need it.

When you need the API

  • More than one person has to answer on the same number.
  • You want the conversations to stay with the company, not with an employee.
  • Orders or tickets need to send messages by themselves.
  • You need to send updates to a customer list with approved templates.
  • You need to know who replied to what, and when.
